1. Submission of Request
Individuals or departments must complete the Campus Space Request Form with all required details about the proposed space usage.
Requests must demonstrate how the need aligns with the university’s strategic plan and institutional goals.
Submission Deadline: Requests must be submitted by the end of Block 4 in the year prior to summer implementation to be considered for the annual review cycle.
2. Initial Review by the Campus Planning and Design Committee (CPDC)
The Campus Planning and Design Committee (CPDC) will review all submissions during Block 5 to evaluate alignment with:
- University policies and procedures.
- Strategic plan goals and priorities.
- Campus space standards.
Additional details or clarifications may be requested from the submitter if necessary.
3. Evaluation Criteria
The CPDC will evaluate requests based on the following criteria:
- Strategic Alignment: How the request supports the university’s strategic goals.
- Feasibility: Availability of space, budget considerations, and infrastructure requirements.
- Impact: Effects on other campus operations or spaces.
- Compliance: Adherence to safety and accessibility standards.
4. Recommendation Development
After evaluation of all requests, the CPDC will prepare a formal recommendation that includes:
- A summary of the requests.
- Recommendations and justifications based on strategic priorities.
- Any conditions for approval or adjustments.
5. Submission to Chancellor’s Cabinet
The CPDC will submit its recommendation and supporting documents to the Chancellor’s Cabinet during Block 6 for final review and decision-making.
6. Planning and Execution
If approved:
- Planning and preparation will occur during Blocks 7 and 8.
- Implementation will take place during the summer of the following year, ensuring readiness for the new academic year.
- Notification
The Chancellor’s Cabinet decision will be communicated to the requester through the CPDC.
Approved requests will include detailed next steps for implementation or scheduling.
